Caitlin Gutierrez Events

Raised in the Napa Valley, Caitlin has been surrounded by food, wine and a service culture
since her earliest years. After high school, she set off to pursue a career in finance at the
University of Redlands earning a degree in Economics & minor in Mathematics. Post
graduation, she rediscovered her true passion for hospitality and people, launching into a
career of managing casual fine dining restaurants all over the United States including: New
York, Santa Monica, Atlanta, Scottsdale and Miami.

Meet CAITLIN

12 years ago after meeting her future
husband (remind her to tell you later the crazy story of how they met!), she returned to
Northern California and transitioned her career into event planning at a couple of local Top
100 San Francisco restaurants. She has focused specifically on planning events & weddings
privately for the last 8 years. When she is not working she enjoys running, spending time
with her kids and Australian Shepherd.

OUR APPROACH

PLANNING PROCESS

CGE produces a small and select number of events each year so that she can focus on
providing a boutique experience to all of her clients. Although you will have an entire team
of professionals behind the scenes beforehand and on the day or weekend of your event, 
you will be working directly with Caitlin for the entire process start to finish.

Caitlin's hospitality resume, finely honed organizational skills and numbers background
give her an acute attention to detail in all aspects of planning and coordinating an event.
Caitlin will spend time from the start getting to know you, your personality, style, 
hopes and dreams to ensure your event reflects your vision in every aspect possible from
design to service.  

You can eliminate any worry with CGE. You won’t need to stress about every last detail
and instead be able to focus on the planning aspects that excite you most, and simply enjoy

PRE-PLANNING

WEDDING DAY

• Unlimited Email Communication From Date of Hire | Email communication plus monthly phone calls to review checklist starting 12 months from wedding date. 1 Lead planner in addition to Caitlin brought into planning communication 4 - 6 weeks out from event day for additional support on all final details.

• Wedding Planning Timeline of Tasks | Checklist of key wedding “to do’s” plus guidance along the way, as needed. We will customize this checklist to fit all work and travel schedules. 

• Budget Creation AND Management | Create and provide you with your initial wedding budget, assistance with tracking all deposits, payments and due dates to help you stay on track 

• Vendor Sourcing | Connect you with the best professional vendors for your wedding day (ex: caterer, photographer, DJ/band, etc) including at minimum 3 suggestions in each category that are vetted, insured, etc.

• Full Service Event Design | Develop event décor themes/elements, floorplans, etc. including one in-person design meeting at rental company of choice as well as creation of a design presentation to ensure your vision will come to life as expected 

• Rental/Décor Items | CGE will provide guidance & assistance in selecting all rental items for the client  

• Photography Shot List | Assistance creating the shot list with your photographer to capture all key photos desired 

• Room Blocks/Hotel Accommodations | Referrals for lodging options 

• Assist with Wedding Website | Provide recommendations for the best platform and format for your website; assist with content, as needed, including local attractions and schedule of events 

 Transportation Schedule | Provide referrals for AND arrange & facilitate transportation services (shuttles or valet) the day of the wedding 

• Printed Items & Signage | Vendor recommendations and assistance in sourcing and proofing all printed materials. (save-the-dates, invitations, wedding programs, menu cards, escort cards, place cards, table numbers, map enclosures, etc.) 

• Vendor Sourcing & Contracts | Connect you with the best professional vendors for your wedding day (ex: caterer, photographer,
DJ/band, etc) AND procuring estimates and proposals, negotiations as needed 

• Venue Site Visits | 3 onsite meetings to review logistics 

• Vendor Meetings | 2 meeting with each vendor throughout the planning process  

• Custom Production Timeline | Timeline shared with all key players involved 

• Wedding Rehearsal | Onsite to oversee and assist the officiant with the rehearsal of the ceremony and to ensure all wedding party is prepared for the big day 

• Pre-Wedding Items | Receive all items for the wedding day from the couple (ex: guest book, place cards, cake cutting set, etc.) Porterage of personal items for up to 1 month before the wedding day

Wedding Day Management
• (1) Lead Planner (for up to 14 hours on site to oversee all logistics)
• Event Assistants for up to 10 hours on site to support lead planner, to be agreed upon by client and planner at cost of $800 per vetted & qualified assistant

Rental Items | CGE will manage and check in all rental items for the client, if desired

Act as the Primary Contact | Key point person for all vendors & key wedding party/family, as needed 

Timeline Execution | Ensure all key items on the timeline are fulfilled 

Personal Details | Detailed placement of any items needed for the ceremony & reception per the
clients instructions pre-wedding 

Secure Gifts & Special Items | Secure all gifts and special items at the end of the evening with a person of your
choice 

Final Payment/Gratuities Distribution | Distribute final payments & gratuities to vendors, as needed 

Wedding Day Essentials Kit | Provide the wedding day essentials/emergency kit to bride & guests as needed 

Collection TWO

starting at $23,000

All items listed in Collection ONE services PLUS: 

Wedding Day Management similar to Collection One & Two PLUS:

Skip the Checklist | CGE will manage all todo lists and loop client in only as needed on emails, phone calls, etc.

Unlimited Communication | phone, email or text from date of hire 

Attendance | dress shopping, tastings, etc. as requested by the client – up to 3 

Wedding Invitations | Invitations including packaging, stamping, and sending envelopes 

RSVP Management | Hand us your invite list and we will take care of tracking down RSVP’s and handling any special guest needs & questions 

Room Block Management | Monitor room block usage and assist with bookings as needed up to two hotels/venues 

Website Creation | Create your wedding website, ensuring cohesiveness with your wedding day design & style 

Personal Item Design | Curated suggestions for all personal items from party favors to special touches like customized cocktail napkins, invitation styling, table numbers, etc. to ensure cohesiveness with overall design. Curate every detail from welcome beverage look to bar design and set-up. Coordinate purchase of every detail.

Venue Site Visits | 5 onsite meetings to review logistics 

(1) Event Assistant | to help with welcome bag delivery/drop off on rehearsal day and any last minute errands 

Email Correspondence | Assist with email correspondence to guests for big events and “need to know” items 

Pre-wedding Items | CGE to receive and store all wedding items as needed throughout the time leading up to the big day 

Rental Items | CGE will manage and check in all rental items as well as oversee setup based on schematics for the client including lighting and sound checks, load-in and load-out over multiple days 

SUPPLEMENTAL SERVICES

• Deliverable within one month from date of hire

• A minimum of (3) viable locations for Wedding Day included in a presentation with photos & highlights (backed by full research) 

• Caitlin will visit up to 3 venues in person with client to help make final decision

• For events ranging from a welcome party to rehearsal dinner to a farewell pool party.

•Assistance in planning including sourcing additional vendors as needed for this event.

• Creation of design collateral to add to overall event deck

• Day of event management including setup, breakdown and oversight during the party


• $1,500 additional to event planning packages


• Event Assistants extra for this event, dependent upon final logistics, guest count, etc.
Cost of $600 for up to 8 hours on site.
